LoopRoom terms of service
Effective: October 2, 2026
These terms are an agreement between you and Hidden Planet Productions, Inc. ("we", "us"), the company that makes LoopRoom. They cover your use of LoopRoom on the web and in our apps. Please read them; they are written to be read.
1. Agreeing to these terms
By creating an account or using LoopRoom, you agree to these terms and to our privacy policy. If you use LoopRoom for a company or other organisation, you agree on its behalf and confirm that you are allowed to.
2. Who can use LoopRoom
You must be at least 18. LoopRoom is built for teams and businesses.
3. Accounts and workspaces
- Keep your sign-in details to yourself. You are responsible for what happens under your account.
- A workspace belongs to the team or organisation that created it. Its owners and admins decide who is in it and what happens to its content.
- Tell us straight away at looproom@hiddenplanet.io if you think someone else is using your account.
4. The service
LoopRoom gives teams rooms, calls, messages, transcription, clips, scheduling, tickets and the tools that connect them. We improve it all the time, so features will change. Some features may be marked as early or experimental; those can change or be withdrawn without notice.
5. Your content
Everything your team puts into LoopRoom belongs to your team: messages, recordings, transcripts, clips, tickets and files. You give us only the permission we need to store, process and display it in order to run LoopRoom for you, including sending it to the providers listed in our privacy policy.
You are responsible for your content and for having the right to put it into LoopRoom.
6. Data protection
For information about you as a user, our privacy policy applies. For the personal information your team puts into its workspace, we act on your team's behalf and instructions. If your organisation needs a Data Processing Agreement, email looproom@hiddenplanet.io and we will provide one.
7. Recording and transcription
LoopRoom can transcribe meetings, and shows everyone in the room a visible indicator while it does. You are responsible for telling the people in your meetings, including guests, that a meeting may be transcribed, and for getting their consent where the law requires it. In some places the law requires the consent of everyone in a conversation.
8. AI features
Transcripts, titles, tags, summaries and ticket rankings are produced with AI. They can be wrong: they can miss words, add words that were never said, and get names wrong. They are not a verbatim record. Check anything important before you rely on it.
9. Coding agents and connected tools
You can connect your own coding agents and other tools to LoopRoom, for example through our command line tool or our MCP server, and let them pick up tickets and report back.
- Those tools are yours. They run on your own machines and accounts, under your own agreements with their providers.
- LoopRoom passes them the ticket content you choose to share, including customers' own words, and receives their reports. LoopRoom does not write, review or deploy code, and never accesses your code repositories.
- You are responsible for what your tools do, and for what you send to them and their providers.
10. Your customers' information
If you put our feedback widget on your own product, or connect another service such as an error tracker, information about your customers will come into LoopRoom. You confirm that you are allowed to send it to us and that you have told your customers you do so. We handle it on your behalf (section 6).
11. Other companies' services
Some features rely on other companies, for example GIFs from GIPHY and the services you choose to connect. Their own terms apply to them, and we are not responsible for them.
12. Acceptable use
Do not use LoopRoom to:
- break the law, or help anyone else to;
- record or transcribe people without the notice and consent the law requires;
- harass, threaten or abuse anyone;
- share other people's personal information without the right to, including through clip links;
- send spam, including through our feedback widget;
- upload malware, or try to break, overload or get around the security of LoopRoom;
- copy, scrape, resell or reverse engineer LoopRoom.
We may remove content or suspend accounts that break these rules.
13. Fees
LoopRoom is currently free to use, with limits. Before we charge for any plan, we will publish its price and its terms, and you will choose whether to pay. Paid plans are bought on our website, not inside our apps.
14. Our property
LoopRoom, including its software, design and name, belongs to us. These terms give you the right to use it, not to own any part of it. If you send us ideas or feedback, we may use them without owing you anything.
15. Copyright complaints
If you believe something in LoopRoom infringes your copyright, send a notice to looproom@hiddenplanet.io. We respond to valid notices and remove infringing content, and we close the accounts of repeat infringers.
16. Suspension and ending this agreement
You can stop using LoopRoom at any time, and ask us to delete your account by emailing looproom@hiddenplanet.io. We may suspend or end your access if you break these terms, if the law requires it, or if continuing would put LoopRoom or other people at risk. Where we reasonably can, we will tell you first.
17. What happens to your data when you leave
When you ask us to delete your account, we stop using it and delete it within 30 days, as our privacy policy describes. Content that belongs to a team's workspace stays with that team unless the team deletes it. If a workspace owner asks us to delete a workspace, we delete it and its content within 30 days.
18. No guarantees
We work hard to keep LoopRoom running and accurate, but we provide it as is and as available. To the extent the law allows, we make no promises that it will be uninterrupted, error-free or suitable for any particular purpose.
19. Limits on our liability
To the extent the law allows, we are not liable for indirect or consequential losses, such as lost profits, lost data or lost business, and our total liability for any claim is limited to the amount you paid us in the 12 months before the claim, or US$100 if that is more. Nothing in these terms limits liability that the law does not allow to be limited.
20. If someone makes a claim against us because of you
If someone brings a claim against us because of your content, your use of LoopRoom or your breach of these terms, you will cover the reasonable costs of dealing with it.
21. Law and disputes
These terms are governed by the laws of the State of California. Any dispute will be decided by the state and federal courts located in Los Angeles County, California, and you and we both agree to their jurisdiction. If you are a consumer in a country whose law gives you the right to bring a claim at home, you keep that right.
22. Apple and Google
If you downloaded a LoopRoom app from the App Store, Apple's standard licence governs the app itself, and these terms govern your use of the service. Apple and Google are not parties to these terms and are not responsible for LoopRoom.
23. Changes to these terms
If we change these terms in a way that matters, we will tell you by email or in the app before the change takes effect. If you keep using LoopRoom after that, you accept the new terms.
24. The rest
These terms and our privacy policy are the whole agreement between us about LoopRoom. If any part turns out to be unenforceable, the rest still applies. You may not transfer these terms to anyone else without our agreement; we may transfer them as part of a sale or merger of our business. You must follow the export control and sanctions laws that apply to you.
